How to upload a certificate of insurance (COI)
Upload an ACORD 25, check the fields we extract, and avoid the most common rejections.
Your certificate of insurance proves general liability, workers' comp, auto and umbrella coverage. One upload covers every client on the platform.
Upload it
- Go to Documents and choose Upload, or use the Insurance step in onboarding.
- Drop in the PDF, or take a photo with your phone. PDF, JPEG, PNG and HEIC up to 25 MB are accepted.
- We read the certificate and show the extracted fields beside a preview: insurer, policy number, limits, effective and expiry dates, named insured and endorsements.
- Fields we're less sure about are highlighted. Check them against the certificate and correct anything wrong.
- Save. The certificate goes to verification.
You can also email certificates to your private email-in address (shown on the Documents page) or let your broker upload them. See How to add your broker.
What we check
- Named insured matches your legal business name exactly, including LLC or Inc.
- Dates are current: the effective date has passed and the expiry date hasn't.
- Limits meet the platform minimum for general liability: $1M per occurrence and $2M aggregate. Individual clients may require more.
- Endorsements such as additional insured or waiver of subrogation are recorded when shown, because some clients require them.
Common rejections and fixes
| Reason | Fix |
|---|---|
| Name doesn't match the legal entity | Ask your broker to reissue with the exact legal name on your profile |
| Limits below the platform minimum | Ask about raising limits, or add an umbrella policy |
| Expired or not yet effective | Upload the current renewal |
| Unreadable or missing pages | Upload the full certificate as a PDF rather than a photo of a screen |
| Edited PDF detected | Get a fresh certificate straight from your broker; we don't accept edited certificates |
Workers' comp exemptions
If your state lets you operate without workers' comp (for example, owner-only firms), upload the state exemption form under Workers' comp exemption instead.
Renewals
We remind you 30, 14, 7 and 1 day before a policy expires. Companies monitoring you are alerted at 7 days, 1 day and on expiry, so renew early. Uploading the renewal clears the alert as soon as it's verified.
